COORDINATING COMMITTEE MEETING MINUTES
October 21, 2003

The meeting commenced at 5:30 pm at the Appleton Public Library lower level meeting room.  Attending were Ron Altenberg, Carol Busey, Ray Durkee, Nancy Johnshoy, Barbara Kelly, Chuck Lewis, Jerry Otteson, and Ram Shet,.

The minutes of the May 20th meeting were approved unanimously.

Busey reported that the shipment to Dr. Stoughton in Zimbabwe has been received, and that he has sent thanks along with photos.  She is working with people from Shawano to make arrangements for a number of teddy bears to be shipped there some way.

Busey has received a phone call from Minaqua to the effect that a diabetes camp there has extra supplies and that they will work with the Rhinelander Goodwill to get them to our Goodwill.

A letter has been received from Rafiq requesting another shipment.  Carol will reply with a letter explaining our need for better communication and see how he responds.  Another letter has been received from the International Christian University Foundation.  Carol will reply with an explanation of our procedures and requirements.

Marquette packed 11 gaylords and they are looking for a way to get them to Appleton for shipment.

Kudos to Ray Durkee for his superb announcements at meetings about our packing sessions!  We will try to have a different committee member do the announcing each month.

Please take time to review the SAMP website and send corrections and suggestions to Barb Kelly.  You can find it at http://www.appletonrotary.org/SAMPweb .  Barb will be working on an acknowledgements page and welcomes suggestions.  There are many new pictures there of packing and unpacking.

A shipment to Jamaica is being arranged to go out in November or December in collaboration with North Shetter.  It will be the third in 3 years.

Barb and Nancy agreed to work with Carol on automating the process for doing the packing slips from the checklists created at packing sessions.

There will be no packing the weeks of Thanksgiving or Christmas.  We will have a special packing date on December 9, 2003.

We would like to have someone from the committee do a presentation to the Appleton West Club.  They meet Fridays at the Holiday Inn.  Donna Kidder may still have a copy of a PowerPoint presentation she used a few years ago at the District Conference. 

We discussed ways to recognize the significant help we receive from many people.  Perhaps invite them to a meeting of the Club and give them some sort of gift (a pocket knife?).  The opinion was expressed that we should acknowledge committee members separately.

Johnshoy suggested that we write to the VNA and hospice organizations about the possibility of donations of home health care supplies and equipment.

Financial reports for the quarters ending June 30 and Sept 30, 2003 were presented by Johnshoy.

Blankets that we can use in packing are now coming directly from Goodwill supplies instead of being stored in our trucks.

Carol will continue to work on development of our LOGO, and perhaps a design for a sticker to go on all of the gaylords.
