COORDINATING COMMITTEE MEETING MINUTES
June 22, 2004

The meeting commenced at 5:30 pm at the Appleton Public Library lower level meeting room.  Attending were Ron Altenburg, Carol Busey, Ray Durkee, Barbara Kelly, Nancy Johnshoy, Tom Trudeau, Dr. Bill Chandler, and Ram Shet.

The minutes of the January 20, 2004  meeting were approved unanimously.

There will be two shipments this year to Zimbabwe.  Jim Schultz from Rhinelander would like to senta shipment to Russia in February.  It included some specialized equipment plus about 36 gaylords worth of supplies, most of which were provided by our club.  The Rhinelander club paid the shipping costs.

A shipment went to Jamaica at a cost of $3004.00.  Another to Pakistan through cooperation with Charlie Biederman.  His club paid shipping costs of $3005.00.  We have been unable to accommodate a request for a shipment to Peru, though that group is getting much assistance from the Oskhosh club.

We are getting much assistance from people from the Shawano area who are friends of Dr. Stoughton.  We would like to be able to send more books, toys and clothing.  Busey proposed that we consider a collection drive at Christmas time to collect those sorts of items.

Shet asked if we should try to get additional news coverage of our efforts, to solicit donations of supplies, equipment etc. from individuals. 

We have had much help from Shawano people, Sturgeon Bay teens, and the people from IndUS organization.

Busey expressed a need for help from committee members in keeping up with the work of the project.  We are running out of supplies to pack, and it is unclear whether that is because we are more efficient in packing and sending things out or because we are getting fewer things.  We do know there are untapped areas that we could explore:

Marshfield Clinic – Shet has contacted, and would like to meet with them in person with one other committee member. 

Mike Hanson from Affinity informed Busey that they were contributing items to our project, though we didn’t realize it.  All such materials are brought to St. Elizabeth and are boxed from there along with the St. E. things.

Ron Harms will be talking with some of the other area hospitals.

Alan Cable has been helping Busey with evaluation of some potential donations.

All committee members are encouraged to make any contacts they may be able to in order to establish additional sources of supply.

It was suggested that we create a simple handout or sheet of instructions for people with donations.  Basically, if people can get materials to ANY regional Goodwill site, with a clear label designating it for Rotary SAMP, it should get to us.  It would also be good to create a basic brochure to send out to potential donors.  Busey will contact Donna Kidder who did one in the past, Kelly will see that the powerpoint presentation given to the club will be put up on the website (www.appletonrotary.org/sampweb/) Busey will work with her staff to create a logo, and Kelly will use that logo to create a stationery template to put up on the website. 

Johnshoy reported that our fund balance was $20,655.  We will need to start writing grants again when our funds approach $12,000.

Dr. Stoughton will be here in August to speak to the club.  Busey will work with Kathy Dreyer to see that we have some tables reserved for the committee members, and for some of the volunteers we hope to bring from WS Patterson, IndUS, Shawano, Goodwill, etc. 

There will be no packing session in June.
