Club Donations [Adopted: 3/7/89]
1) All donations by the Kaukauna Rotary Club shall normally be to non-profit organizations not to individuals.
2) All donations shall be subject to approval by the Kaukauna Rotary Club Board of Directors.
3) All requests for donations shall be submitted in writing to the President of the Rotary Club who will present them for consideration by the Board of Directors.
Club Protocol in the Event of Sickness, Death of Rotarians and Family Members [Adopted: 05/03/2005]
1) In the event of illness by Rotarians, their spouses, or children, an appropriate card signed by all Rotarians shall be sent as soon as possible.
2) The Club will send a Peace Lily or contribute to a memorial in an amount of no less than $25.00 in the event of the death of a current Rotarian or a member of their immediate family (spouse, son, daughter, stepson, stepdaughter, mother, father).
3) The Club will send a Peace Lily or contribute to a memorial in an amount of no less than $25.00 in the event of the death of a former long-standing Rotarian.
4) The Club Service Chairman will be responsible for arranging for and sending all Club memorials and greeting cards.
5) Rotarians should report the news of any of the above events to the Chairman of Club Service, or to the Club President in the absence of the Club Service Chairman.
Meal Costs for Speakers, Prospective Members, Guests and Visiting Rotarians [Adopted: 05/03/2005]
1) The Club shall bear the cost of the meal/s for any non-member speaker and their guests who present a program to the Club. This will include the meal cost for Senior Active-Exempt and Honorary members who present a program.
2)
The Club shall bear the cost of the meal for any
prospective member brought to any one (1) two (2) club meetings.
3)
The Club shall bear the cost of the meal/s for
any guests at a regular or special Club meeting who are participants in a
Rotary sponsored program -- e.g. Rotary exchange students and their parents,
the new teachers present at the annual special school district meeting, or
the students and sponsors in the Shadow Program.
4) Club members shall be responsible for paying for the meals of any guest (other than speakers, speaker's guests and prospective members) that they bring to regular or special club meetings.
5) Visiting Rotarians shall be required to pay for their meal when attending regular or special Club meetings.
6) Senior members and other visitors paying for the meal will pay the current meal cost.
Payment for Expenses Incurred by Club Officers at Required Meetings [Adopted: 5 April 2000]
1) The Kaukauna Rotary Club will pay the expenses incurred by the club officers who attend required training or orientation meetings relating to the performance of their duties - e.g. the PETS training sessions offered by the District to incoming club officers.
2) The expenses covered would include:
a) Registration fees for such training sessions.
b) Lodging costs.
3) The expenses NOT covered would include:
a) Mileage or other travel expenses.
b) Reimbursement of lost wages.
Policy for Exemption from Paying for Meals Weekly [Adopted: 6/21/89]
1) Members of the Kaukauna Rotary Club who retire from their vocation or who are members of the clergy may continue to pay their full club dues including advance payment for all meals; or may request that they pay dues based on the club costs only and pay for individual meals when they attend a Rotary meeting.
2) This type of dues structure shall be known as "Exempt-Dues" and will be granted upon simple request to the Club Board of Directors
Procedures for Billing [Adopted: 03/16/89]
1) All Rotary members will be billed for dues in March, June, September and December for the coming quarter. All dues are expected to be paid during the first month of the quarter.
2) Members may pay quarterly or may pay for any number of quarters in advance.
3) Any member who does not pay dues by the end of the quarter for which they have been billed, will be billed again the following quarter.
4) If within fifteen (15) days of sending the second statement, the back dues are still not paid the member will receive a letter form the Club Treasurer reminding him/her of the dues.
5) Any member not responding to the Treasurer's letter within fifteen (15) days will be contacted personally by the Treasurer regarding payment.
6) The official provisions of the Rotary International Club Constitution Article VIII, Section 4. "Termination -- Non-payment of Dues" which states:
"Any
member failing to pay dues within thirty (30) days after the prescribed time
shall be notified in writing by the secretary at his last known address, If the dues are not
paid on or before ten (10) days from the date of notification said membership
will automatically terminate.
Such
former member, at the discretion of the board, may be reinstated to membership
upon his petition, and upon the payment of all his Indebtedness to the club}
provided no former member can be reinstated to active membership if his former
classification has been filled."
Special Events [Adopted: 1/1/89]
1) Effective 1 January 1989, all special events and parties will be self-supporting and not subsidized by Club dues.
2) The cost and minimum number of participants in such special events or parties shall be determined by the chairman of that particular event. Members will be asked to sign up and pay for such events in advance
3) In the event that the minimum number of participants is not reached that chairman will cancel the event and return all advance payments.
Succession of Officers [Adopted: 3/7/89]
1) The office of President/Elect and President shall automatically pass to each member in seniority order. That is, new members shall progress to the office of President/Elect and President in order of there date of entrance into the club. Club members who cannot fulfill this service obligation may choose to be exempted or may defer to a time when they can more easily perform the duties of the positions.
2) All other officers and committee chairmen of the club shall be appointed by the President/Elect before taking office as President.
3) Every member shall be expected to serve in turn as president-elect, and finally President of the Club.
4) Such a succession is intended to insure that every member becomes familiar with the goals and objectives of Rotary, and with the operation of our Club, but also insures that each member will equitably share in the responsibilities of the club's operation.
